Booking Terms & Conditions

Barntrees Retreat is an exclusive luxury countryside rental where every guest reservation is both important and special to us.
We are proud to offer a peaceful and high-quality rural experience, and the following terms are in place to ensure clarity, fairness and the continued enjoyment of the retreat for all guests.

By confirming a booking, you agree to the terms set out below.

 

1. Booking and Payments
 

Deposit

To confirm your booking, a 25% non-refundable deposit is required at the time of reservation.

If booking within 10 weeks of your check-in date, full payment is required at the time of booking.

 

Booking Confirmation

Your booking is confirmed once we have received payment and issued a confirmation email.

If you have not received your confirmation email within 24 hours, please notify us at admin@barntrees.co.uk.

Please check your confirmation carefully and advise us immediately of any inaccuracies or omissions.

 

Balance Payment

The remaining balance is due 10 weeks prior to your check-in date.

Balance payments are automatically taken using the same card used to pay the deposit. If you wish to use an alternative payment method, it is your responsibility to contact us on 07813 280926 before the due date.

If the automatic balance payment fails, we will contact you. If payment is not received within 5 days of the due date, we regret that we will cancel your booking.

 

Payment Processing

All card payments are securely processed via holiday rent payment, who provide merchant service facilities to BarntreesRetreat.

 

2. Cancellations

All cancellations must be made in writing to admin@barntrees.co.uk.

• The 25% deposit is strictly non-refundable.

• All bookings become non-amendable and non-refundable within 10 weeks of check-in.

• If you cancel within 10 weeks of arrival, the total accommodation cost (including deposit) will be forfeited.

Rates and policies may vary during high-impact periods and special request bookings.

We strongly recommend guests obtain suitable travel insurance.

 

3. Check-In and Check-Out

Check-in: 4:00 PM - 6:00 PM

All efforts will be made to have your accommodation cleaned and ready by your check-in time, but at times we cannot guarantee the exact time of occupancy due to unforeseen circumstances. 

You are welcome to arrive before check-in time, and to park up and explore the area. Please just drop us a message to confirm if you shall be arriving earlier than check-in. 

Check-out: 10:00 AM

Check-out time must be adhered to in order to allow preparation for incoming guests.

Guests remaining beyond 10:00 AM without prior written approval may be charged a late check-out fee of £50 per hour (or part thereof).

 

4. Occupancy & Use of the Property

The property may only be occupied by the number of guests stated on your booking confirmation.

Barntrees Retreat is not a party venue. Hen, stag parties or events are not permitted unless agreed in writing prior to booking.

We rerve the right to terminate a stay without refund if occupancy limits are exceeded or if the property is used for unauthorised gatherings.

 

5. Quiet Enjoyment & Respect for the Setting

Barntrees Retreat is situated in a peaceful rural location. We ask all guests to respect the tranquillity of the area and neighbouring properties.

A strict quiet policy operates between 10:00 PM and 8:00 AM.

During quiet hours:

  • No outdoor music is permitted

  • Outdoor socialising must conclude by 10:00 PM

  • Noise levels must be kept to a minimum

  • Hot tub use must be quiet and respectful

Failure to adhere to this policy may result in:

  • Immediate termination of the stay

  • Loss of part or all of the booking payment

  • Retention of the security deposit where applicable

6. Hot Tub Use

Where provided, the hot tub is available for guest enjoyment; however, use is entirely at your own risk and hot tub safety rules must be read and adhered to. (Please see the guest book for more information)

Guests must comply with the following:

  • Children must be supervised at all times

  • No glassware is permitted in or around the hot tub, please use the plastic glassware provided.

  • No diving, jumping or standing on the cover

  • Do not exceed recommended bather limits

  • Do not use the hot tub under the influence of excessive alcohol

  • Replace the cover securely after use

The hot tub is maintained regularly; however, we reserve the right to temporarily withdraw use if required for maintenance, hygiene or safety reasons.

Additional cleaning or water replacement required due to misuse may incur charges.

 

7. Working Livestock Farm

Barntrees Retreat is located next to a working livestock farm.

At certain times of the year, normal farming activities may result in:

Early morning or occasional machinery noise

  • Livestock-related sounds

  • Agricultural odours

  • Seasonal activity such as lambing, harvesting or field work

These are a normal and authentic part of rural life and are not grounds for complaint, cancellation or refund.

We believe this setting is part of the charm and character of Barntrees Retreat and ask guests to embrace the countryside experience.

 

8. Smoking Policy

Smoking or vaping is strictly prohibited inside the property.

Cigarette ends must be disposed of responsibly.

 

9. Dogs

One well-behaved dog is welcome by prior arrangement for an additional charge of £25 per stay.

Dogs must:

  • Not enter bedrooms

  • Not be allowed on beds or soft furnishings

  • Be kept on a lead while on site

  • Not be left unattended unless suitably crated

  • Dog mess must be picked up.
     

Guests are fully responsible for any damage or additional cleaning required as a result of their dog.

 

10. Care of the Property

Guests agree to take reasonable care of the property and its contents.

Any damage or issues must be reported promptly.

We reserve the right to charge for:

  • Damage to the property or contents

  • Missing items

  • Excessive cleaning

  • Cleaning of the BBQ

  • Breach of these terms

 

11. CCTV & Security

For the safety and security of guests and the property, Barntrees Retreat operates a visible external CCTV camera covering the parking area only.

The system:

  • Is positioned externally

  • Does not record inside the property

  • Does not monitor private leisure areas including gardens or hot tub areas

Footage may be used for:

  • Property and guest security

  • Prevention or investigation of crime

  • Verification of guest numbers in line with occupancy limits

  • Investigation of breaches of booking terms

Footage is stored securely and handled in accordance with UK data protection legislation.

By confirming a booking, guests acknowledge and accept the presence of this external CCTV system.

 

12. Complaints Procedure

We are committed to providing a high-quality experience.

If any issue arises during your stay, you must notify us immediately so that we have the opportunity to resolve the matter.

Complaints raised after departure which were not reported during the stay may not be considered.

 

13. Liability

Barntrees Retreat accepts no liability for:

  • Loss or damage to personal belongings

  • Injury sustained at the property except where caused by proven negligence

Guests are responsible for supervising children and pets at all times.

 

14. Force Majeure

We shall not be liable for cancellations or disruptions caused by circumstances beyond our control, including but not limited to extreme weather, power outages, government restrictions or other unforeseen events.
 

16. Governing Law

These terms are governed by the laws of England and Wales.
